Privacy Policy

This policy explains how Japan EV Field Lab handles personal information received through inquiries, proposals, payments, research, testing, and this website.

Effective and last updated: August 27, 2026

01

Information collected

  • Identity and contact details such as name, company, role, email address, billing address, and communication preferences.
  • Inquiry and engagement information such as product URLs, specifications, test questions, proposals, correspondence, reports, photos, videos, and support history.
  • Payment and transaction metadata such as invoice status, amount, currency, and transaction identifier. Full card details are handled by Stripe and are not stored by Japan EV Field Lab.
  • Technical information such as IP address, browser/device data, access time, security logs, and essential website or authentication records provided by the hosting platform.
02

Purposes of use

  • Respond to inquiries, assess project fit and safety, prepare proposals, and provide the agreed service.
  • Process payments, maintain accounting and tax records, manage samples, and deliver reports and evidence.
  • Protect the website, vehicle, accounts, confidential information, and users from fraud, misuse, or security incidents.
  • Improve service methods and website usability using aggregated or de-identified information.
  • Comply with law, resolve disputes, and enforce agreements.
03

Legal grounds and choice

Information is processed as necessary to answer a request, form or perform a contract, meet legal obligations, protect legitimate business and security interests, or with consent where required. A client may decline optional information, but required scope, safety, payment, or delivery information may be necessary to provide the service.

04

Sharing and processors

Personal information is not sold. It may be shared only as needed with service providers for hosting, email, payment processing, document or file delivery, accounting, security, and professional advice; with logistics providers requested for a sample; with authorities when legally required; or in connection with a business transfer subject to appropriate protection.

Current core providers may include OpenAI/Sites for website hosting and access control, Stripe for payment processing, Google for email delivery, and the applicable domain/email hosting provider. Each provider handles information under its own terms and privacy policy.

05

International transfers

Japan EV Field Lab is based in Japan and serves overseas clients. Information may be processed in Japan and in countries where service providers operate. Appropriate contractual, organizational, and technical protections are used where required, but privacy rules may differ by country.

06

Payments

Card payments are processed by Stripe. Japan EV Field Lab receives transaction and customer metadata needed to confirm payment, issue records, prevent fraud, and handle refunds, but does not receive or store full card numbers or card security codes.

07

Cookies and analytics

The website may use essential storage or cookies required for hosting, security, access control, and language or session behavior. Japan EV Field Lab does not currently use advertising cookies or sell browsing data. If non-essential analytics are introduced, this policy and any required notice or consent mechanism will be updated.

08

Retention

Inquiry records that do not become an engagement are normally reviewed for deletion after 24 months. Contract, payment, tax, and accounting records are retained for the period required by Japanese law. Project files and evidence are retained only as long as reasonably needed for delivery, support, dispute prevention, security, and the agreed confidentiality terms, then deleted, anonymized, or securely archived.

09

Security

Reasonable technical and organizational measures are used, including access limitation, strong authentication where available, confidential-by-default project handling, and minimizing copied data. No system can guarantee absolute security. Affected clients will be notified when required by law following a material incident.

10

Your rights

Subject to applicable law, a person may request confirmation, access, correction, deletion, restriction, withdrawal of consent, or an explanation of use. Identity and authority may be verified before responding. Some records may be retained where required for legal, accounting, security, or dispute purposes.

11

Public results and children

Client identity, product, and results are not published without written approval. The service is for business users and is not directed to children. Japan EV Field Lab does not knowingly collect children’s personal information for this service.
